ROLE of the POSITION
The Administrative Assistant 4 will provide administrative support to the School of Community Health Sciences. This position will be required to assist faculty in the School with direction and assistance with grant budgets, both pre- and post-award, completing monthly budget reports and working with faculty to determine allocable expenses and processing required documents; and assist the Dean's office with initiatives related to Tier 1, School accreditation and, recruitment activities. Additional duties will include developing training manuals for new hires and assist in the training of new classified and student staff. Additionally, the Administrative Assistant 4 will work with graduate coordinators to advise students on core curriculum courses and process and provide them with information on degree requirements, eligibility, application deadlines and other related information. The Administrative Assistant 4 will also be required to assist in gathering and compiling data, draft reports for various accrediting bodies; assess, evaluate, compile and present data to school administrators on student enrollment, matriculation, withdrawal, probation and separation; and make recommendations to acquire data when unavailable or improve the process. This position will supervise the other administrative assistants in the School.
The Administrative Assistant 4 will be supervised by the Business Manager and will work closely with her in all financial functions of the School such as maintaining accounts, preparing spreadsheets and tracking expenditures. Duties will also include organizing and coordinating the recruitment activities for faculty, classified, letter of appointment, wages and PTI staff. Additional duties will include the coordination of special events such as award ceremonies, assessment meetings and advisory board meetings. The Administrative Assistant 4 will also provide backup for the Business Manager and the other Administrative Assistant 3's.
QUALIFICATIONS
Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience.
PREFERRED QUALIFICATIONS
Preference will be given to candidates with knowledge of Microsoft Office, Archibus, Financial Data Warehouse, HRMS, MUNIS, PeopleSoft, MyUNLV, UNLV Analytics, SalesForce, Qualtrics, RetrieveX and all Google's products (Google Drive, Email, Calendar and Google Forms).
SALARY
Grade 29 Step 1, salary $37,646. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
