Screens calls and visitors to the ADPCS’s and Assistant Director’s office. Personally handles many requests for information and resolves or assists in resolving a variety of complaints made by patients regarding administrative matters. Refers to staff members and forwards to the ADPCS and Assistant Director only those calls or visitors requiring their attention. Schedules appointments and makes commitments for the ADPCS and the Assistant Director to attend meetings, luncheons, etc., without prior approval. Prepares executive correspondence on own initiative where format and subject matter are guided by precedent. Reviews incoming mail, reports, inter-office memoranda, etc., calling to the attention of the ADPCS and the Assistant Director new policies and procedures, as well as changes in those existent, and other information which is of special interest to him/her. Reviews outgoing correspondence and reports prepared by services for the signature of the Director, ensuring proper format, mathematical correctness, correct grammatical content and ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy. Takes and transcribes ADPCS’ and Assistant Director’s staff meeting minutes. Maintains time cards for the Office of ADPCS. In the absence of the Director’s and Assistant Director’s and Chief of Staff’s secretaries, performs the duties required of that position

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-8 position you must have served 52 weeks at the GS-7. For GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Qualifications –

Basic Requirements: Ability to type 40 words per minute.

GS-07: Your resume must demonstrate at least one year of Specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Assisting the administration with clerical duties, which includes: scheduling meetings, conferences, and events; draft and review letters, memos, and emails; coordinate appointments, establish calendars, and develop itineraries for senior staff.

GS-08: Your resume must demonstrate at least one year of Specialized experience at or equivalent to the GS-07 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Performs a range of administrative duties which includes composing memos, letters, etc.; Scheduling meetings, conferences, and events; coordinate appointments, establish calendars, and develop itineraries for senior staff.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work requires some walking and carrying light items such as papers, files and books. No special physical qualifications are required to perform the work.
