Job Description
Provides continuous secretarial and administrative support to division using independent judgment and maintaining a high level of confidentiality.ESSENTIAL DUTIES:
Creates annual employee performance evaluations.
Contacts frequently with other county employees, law enforcement, agencies and the general public.
Compiles division statistics ensuring Jail Standards compliance.
Assists and complies data necessary for preparation of three budgets.
Enters budgets in Financial Center.
Researches vendor pricing and compares pricing for cost effectiveness.
Enters all requisitions for three departments. Ensures funds are available to make purchases.
Obtains quotes and forwards to appropriate Captain for approval.
Maintains requisitions documentation ensuring that orders are received in a timely manner.
Reconciles all invoices ensuring quantities and pricing coincide with purchase orders.
Reconciles Sheriff's office Cash Bond Trust Account.
Maintains internal personnel records and schedules for the division.
Answers and prioritizes phone calls.
Attends meetings and types minutes.
Serves as Sheriff's Designee on Williamson County Bond Board.
Gathers information and makes reservations for out of town school/seminars.
Performs data entry as required.
Conducts research as requested.
Assists with job applicant processes.
Provides notary services.
Copies and faxes documentation.
Directs and assists daily job assignments for employees.
Manages and reviews timesheets, vacations, and sick leave for department employees.
Ensures adequate coverage in specific sections
Readily complies with departmental and county-wide policies and procedures.
Performs related special projects as assigned.
The physical demands and environmental factors listed below as well as regular attendance are also essential functions for this position.
PHYSICAL DEMANDS:
Sitting for long periods of time, typing in front of a computer screen.
Occasional lifting of 25 pounds, kneeling, squatting, bending, walking.
Standing while faxing, copying, and filing documents.
Works mainly in a smoke-free, temperature controlled office (central heat and air). ENVIRONMENTAL FACTORS:
Williamson County has adopted a Tobacco-Free Workplace policy. This policy prohibits smoking or use of any tobacco product on Williamson County premises.
MINIMUM QUALIFICATIONS:
High school Diploma and equivalent experience.
Some knowledge of legal and criminal justice systems.
Five years of clerical and secretarial experience
Ability to operate a 10-key by touch.
Strong data entry skills.
Ability to type and enter data with appropriate speed and efficiency.
Must maintain a satisfactory Motor Vehicle Record.
Must obtain a valid Texas driver's license by date of hire.
EMPLOYMENT TESTING:
Employment is contingent on passing post-offer, pre-employment and periodic drug testing and criminal background investigations. PREFERRED REQUIREMENTS:
Supervisory experience
Financial experience in budgeting, reconciliation, and auditing
General knowledge of legal and criminal justice systems.
Advanced knowledge of computers and computer software to include Microsoft Office (Excel, Word, Access, and PowerPoint).
Excellent knowledge of business practices, business English (including grammar, spelling, and punctuation).
Highly effective communication skills, both oral and written.
Ability to accurately file both alphabetically and numerically.
Ability to maintain a high level of confidentiality.
Accurate typing speed of at least 45 wpm.
Must have strong organizational skills. IRREGULAR HOURS:
