Job Description:
Provides administrative and clerical support to all Senior Management at MQA and Maritime Compliance. Keeps official corporate records and executes administrative policies determined by or in conjunction with other policies and guidelines.

Essential Functions:
Provide Executive Assistant Support to the SVP of Maritime Quality Assurance, VP of Maritime Compliance, VP of Maritime Quality Assurance and VP of Technical Quality Assurance.
Arranges complex and detailed travel plans and itineraries; compiles documents for travel-related meetings for department
Provide emergency travel support after hours (WEEKENDS).
Time Card Coordinator for MQA and Maritime Compliance. Responsible for approval of time cards for payroll purposes.
Manages calendars and schedules appointments for all department management. Reviews materials and prints as needed, in advance of meetings.
Handles incoming calls and correspondence and responds independently when possible. Responds to routine external correspondence.
Types memos, purchase requisitions, payment requests and other department forms and documents.
Orders office supplies and maintains supply cabinet. Ensure the facilities are stocked and maintained.
Maintains various database and spreadsheet files as requested.
Prepares agendas, notices and minutes for meetings. Files documents and prepares/organizes folders.
Prepares and edits extensive PowerPoint presentations
Composes and prepares confidential correspondence, reports and other complex documents.
Organizes department events, meetings, workshops and conferences including the coordination of facilities, caterers, invitations, speakers and event budgets.
Prepares expense reports and credit card reconciliations for SVP, Maritime Quality Assurance.
Perform other job related functions as assigned.

Qualifications:
Bachelor’s Degree preferred.
A minimum of 5 years Executive Administrative Assistant experience
The individual in this role will be a seasoned administrative professional with the following expertise and attributes:
Senior level executive administrative support with demonstrated accomplishments.
Intermediate proficiency with Microsoft Office Products (Outlook, Word, PowerPoint, Excel, Visio)
Ability to communicate confidently at the highest levels and build effective internal and external relationships.
Excellent organizational awareness and proven ability to operate in a matrix environment
Strong interpersonal abilities and communication skills
Office Management experience
Requires demonstrated abilities to interact with both internal and external contacts at all levels, up to and including executive leaders.
Must display the utmost level of professionalism and integrity in order to provide positive representation for the department and the organization.
