POSITION SUMMARY:
- The Administrative Assistant will support the Director of Procure to Pay, the VP of Finance Operations and the Director of Product Supply Finance and secondarily, their leadership teams and organizations. .
Meeting Coordination:
- Manage calendars and assist in managing meetings, and other activities -- primarily for the three principals. Proactively prevent and/or identify schedule or resource conflicts. Handle all planning activities related to meetings including identifying and scheduling conference rooms, equipment, catering, etc.
- Process mail, order office supplies, organize file and supply cabinets, organize moves and desk/equipment for new and departing employees, etc. Oversee specialized mail and shipping document handling process which includes receiving, scanning, and distributing mail and packages via interoffice mail, Fed Ex, or email to General Mailboxes. Manage and reconcile Purchasing Card
- Organize team building events large and small. Coordinate periodic All Hands meeting for the teams. In addition play an active role in the Admin Forum working with other Admin. Assistants to build a supportive community. Similarly, when needed work with other Finance Admins and teams to coordinate Finance functional events.
Maintain organization materials including vacation calendars, organizational charts, phone lists, etc. Assist in preparation of meeting materials including agendas, presentations, etc. Maintain existing P2P website (MS SharePoint) with current information including announcements, calendar, and other updates as necessary.

MINIMUM REQUIREMENTS:
Years and Type of Experience:
- 3-5 years of work experience, including a minimum of 2 years as an administrative assistant
- Excellent customer service and communication skills. Ability to interact effectively with all levels of management
- Advanced office application skills including use of Excel, PowerPoint, Word, Outlook and SharePoint
- Excellent planning and organizing skills. Strong critical thinking and reasoning.
- Demonstrated ability to multi-task and set priorities to support and consistently meet deadlines for multiple stakeholders. Results and detail oriented.
- Ability to stay calm and poised under tight timelines. Highly flexible with evolving needs and priorities.
- Collaborative team player. High level of initiative, motivation and enthusiasm.
- Creates a positive and fun work environment.
- Strong use of discretion and judgment, especially in dealing with highly sensitive and confidential information
- A Bachelor degree is highly preferred. High School Diploma required.
