Administrative Assistant
Job Description
The Oliver H. Bair Company is looking for a highly organized, detail-oriented lead Administrative Assistant for its Delaware County location. The lead Administrative Assistant is responsible for managing the daily operations of the company's front office and reception area. S/he will interface regularly with staff, clients and vendors. Candidate must be able to do so in a positive manner and with a customer-service approach. The lead Administrative Assistant will be responsible for assistance in all areas of our five family owned companies. S/he helps ensure that office operations runs smoothly each day. The ideal candidate will have administrative experience and will thrive in a fast-paced, collaborative work environment. This position reports to the General Managers of each division and is also accountable to the company's Marketing Director.
Key Responsibilities
- Answer general inquiries, directing and screening a high volume of phone calls * Greet clients and visitors to the company and direct them to the appropriate location * Create and maintain databases in CRM for client and vendor records * Create and update customer and personnel files. * Assist with the customer/client process, organizing paperwork, tracking completion and conducting follow up calls * Plan and help execute a smooth day to day operation * Assist in preparation for special events and marketing opportunities. * Place orders for departments and track the order process for the company * Manage office supplies for the main office * Oversee the mailing and shipping delivery systems * Maintain calendar and scheduling meetings * Serve as the first point of contact at the office; maintain a positive and welcoming environment for families, visitors and coworkers * Other administrative duties as assigned
Qualifications
- At least three years of administrative experience, preferably in an office setting. * Ability to relate to a diverse population of clients a must * Advanced proficiency in computers specifically, Microsoft Office: Word, Excel and the ability to learn new programs/software quickly, knowledge of a CRM a plus * High level of personal organization, attention to detail, planning, and follow-through * Strong oral and written communication skills and the ability to effectively communicate with families, colleagues and supervisors * Process-driven with proven experience multi-tasking, organizing and prioritizing work in a fast-paced environment * Self-directed, proactive and a problem solver * Flexible and able to adjust in order to reach goals * High degree of professionalism and positivity * Collaborative work style; maturity, humility, and a sense of humor * Ability to work occasional weeknights and weekends for special events
