What we’re looking for
We need an adaptable, proactive, organized administrative assistant to join our team. The assistant will support 5 executives in a fast-paced environment, and have the opportunity to experience a wide variety of responsibilities. No day will be the same! If you have the ability to creatively problem-solve and multi-task while maintaining complex schedules, we want to talk to you.
Responsibilities
Calendar management: Scheduling events, meetings, and travel
Preparation of expense reports and supporting documentation
Coordination of travel plans in accordance with travel policy
Obtains reports and prepares presentation materials for executive team
Coordinates meetings and events
Maintains files, documents and records for each team as required
Regularly uses judgment to determine the priority of access to the executive team
Handles and contains confidential and proprietary corporate information of the most sensitive nature
Learns and maintains understanding of company operations, policies, and procedures
Acts as a liaison between the executive team and departments
Collaborates with other assistants to ensure office operations are sustained
Other duties as assigned
Qualifications
Bachelor's degree
Minimum of two (2) years office administration experience
Intermediate knowledge and expertise in MS Office, including Word, Excel, PowerPoint and Outlook
Strong knowledge of office management systems and procedures
Excellent organizational and time management skills
Ability to multi-task and prioritize work
Strong attention to detail and problem solving skills
Professional demeanor and ability to work with a sense of urgency
Excellent written and verbal communication skills
